Working with a Virtual PA - What you need to know in advance

Here are some questions I would advise you to ask a potential VA:

1.  How long have you been in business?

I set up my business in September 2005.  Since then I have worked with several non-executive directors and business leaders and have supported companies and entrepreneurs all of whom recognise the need for excellence and added value.

2.  What type of PA experience do you have?

As well as having worked as a senior Executive Assistant and Facilities Manager for large global corporations, my background has included sales and marketing within the travel business, both in the UK and in Greece, Portugal, Cyprus and the West Indies.

3.  How does the process work?

If they are local, I offer an initial meeting with potential clients which is free of charge.  (If they are not local, we talk on the telephone).  We discuss their requirements in detail and I explain how various tasks are delegated and completed. Assuming the client need is ongoing, I then send them my Terms & Conditions and both parties sign to confirm their commitment.

4.  Which online tools do you use?

I manage Outlook calendars either via the web or via the client’s own exchange server.  I utilise an online package to record hours worked so that my clients can see the amount of time spent on each project - the reports are attached to my invoices and really come into their own when clients need to pass costs on.

5.  Do you have a CV?

This is made available to potential clients upon request as are terms of business.

6.  What professional qualifications do you have?

I am a certified WebMaster with experience in Flash, Photoshop and Dreamweaver and  hold a  National Open College Network diploma in Business Computing.  I am also a member of the RYA and hold Yachtmaster and Day Skipper certificates.  My City & Guilds Certificate in Management & Export Office Procedures includes Pitman Typing and Shorthand.

7.  Can you provide me with references?

I have several clients who have supplied testimonials and who are happy to provide verbal references over the phone.  Please contact me for any additional information.
